THE PROBLEM

Wyoming Machinery Company previously utilized a legacy compliance system to hold archived data. This mainframe system became outdated and Wyoming Machinery decided to begin the process of looking for a new provider. Their current solution lacked the features which most other data management providers presented as a standard. The solution lacked updated protection for their data and could not upload to the cloud. This off-the-shelf hardware had no customization and was not meeting the exact needs of the team. DASD (direct access storage device) gives each physical record a discrete location and a unique address.

However, with a secondary storage device, there is no way to access information outside of the office or by cell phone. This solution is bulky and time-consuming. It takes up physical space in the office with the mainframe, drives, and data cells. It requires physical labor to move the documents offsite once uploaded into the system. Wyoming Machinery wanted a secure system that would migrate data and store it safely while reducing the time and labor to complete uploads. The Wyoming Machinery team decided they wanted to move away from off the-shelf hardware and look at products that would be customizable. THE SOLUTION

The Wyoming Machinery team decided they wanted to move away from off the-shelf hardware and look at products that would be customizable. Secure Archive Manager (SAM) by DataTrust is a software archival data storage solution with cloud and hardware solutions. It presented the capability to hold all long term data while meeting compliance requirements and providing an upgraded level of security.

Wyoming Machinery decided to acquire SAM and deploy on Dell servers, creating a bridge for ideal migration. A plan was created to verify all current files as they were uploaded into SAM, ensuring there would be no data loss. The file system data mover transferred the data from the existing archive into SAM in a compliant manner with chain-of-custody reports. Wyoming Machinery has additionally received the following benefits with SAM for the management and protection of their data.

File Encryption and Duplication – SAM provides this feature in both Casper and Gillete. The separation of access and storage keeps data safe in multiple locations. This enables both Wyoming locations to assist with rollback in case of malware or ransomware attacks.

Cloud Integration – Wyoming Machinery could decide later if they wanted to integrate with the cloud, assisting their local hardware storage solution with data management.

Compliance – Many kinds of data are subject to strict regulations, so DataTrust SAM delivers features that companies in regulated industries need for compliance. SAM enables flexible and compliant data management over the life cycle of the data.

Notifications – The notification system will provide the team with a compliance update regarding the timeline of a document’s life. It will inform employees when it is time to archive or remove a document from the system

THE RESULTS

After implementing SAM, Wyoming Machinery has successfully maintained all files. The transition process included verification and duplication removal. Their new solution provides improved security against ransomware with updated encryptions and backups. DataTrust takes pride in protecting its clients from any potential loss from malware or ransomware attacks through upfront protection and plans for recovery. Wyoming Machinery now has an easy-to-use system that requires little management from their internal departments. End-user productivity has increased as employees have improved access to data.
